Job Purpose

We are seeking a Visiting Housing Assistant to join our team and help us provide exceptional housing management services to our residents. Your role will be crucial in ensuring our residents receive top-notch support and assistance.
 

Role Summary

You will be visiting residents and conducting surveys on the council’s services to gauge customer satisfaction, with one day per week arranging appointments with the residents and recording the collected data, and the four remaining days per week on visits. 


Key Responsibilities

1. Customer-Focused Neighbourhood Management:

Support the housing management team in delivering a customer-focused and proactive neighbourhood management service.

Provide responsive reception services, addressing housing management inquiries, and directing residents to relevant services and agencies.

Conduct routine office building checks and tests, including fire and panic alarm checks, and maintain accurate records.

2. Administrative Excellence:

Process payments required for service delivery using IBC and other systems. Maintain KPI and PI performance data for the team. Deputise for Housing Officers under the supervision of the Housing Manager.

3. Comprehensive Housing Management Support:

Assist the tenancy management teams with various housing management functions, such as estate inspections, tenancy audits, and ASB management.

Provide a customer-focused reception service, resolving a wide range of inquiries at the first point of contact.

Attend home visits, meetings, and events as needed, even outside of regular working hours.

4. Documentation and Record-Keeping:

Offer guidance on tenancy change applications and ensure proper paperwork and documentation are completed for assessment by the Housing Officer.

Prepare for the sign-up of new tenants, ensuring all necessary information is readily available.

Maintain accurate and up-to-date records in databases and IT systems.

5. Collaboration and Communication:

Plan, coordinate, and document actions from a tenancy audit program.

Assist in introducing new tenants to their homes, conducting viewings, sign-ups, and orientations.

Respond promptly and professionally to customer email and telephone inquiries.

6. Cross-Functional Teamwork:

Collaborate with other service areas to achieve targets and standards through joint working.

Support the management of notice boards to ensure information is up-to-date and relevant.

Process reports of fly-tipping and abandoned vehicles in line with our policy.


Qualifications and Skills:

Strong organizational and administrative skills.

Excellent communication and customer service skills.

Proficiency in using various databases and IT systems.

Ability to work independently and as part of a team.

Willingness to attend meetings and events outside of regular working hours when necessary.
